“What is a commercial records center, and how do they operate”

A commercial records center is a professional company that specializes in the storage, protection and management of business records utilizing the latest technologies and sound records management practices.

Using a records center:
  • Provides maximum efficiency and use of space (five times as many records can be stored per square foot in a records center as in equivalent office space)
  • Provides orderly arrangement and control of records
  • Employs procedures that ensure prompt and efficient handling of records
  • Provides physical security and protection against damage due to natural or other disasters
  • Protects confidential records from unauthorized access
  • Provides systematic legal disposition of records that have reached the end of their retention period

How much storage space can we have?
Answer:  Whether it’s 5 boxes, or 50,000 boxes, Fireproof can accommodate your needs. We have over ½ million square feet of storage space, all geographically dispersed throughout five facilities located in central Ohio. Ask for a company tour to pick the best location for your records.

Can we use our own boxes for storage?
Answer:Yes, you may utilize your own boxes as long as they meet industry standards for strength, durability and size.

Do you use barcode labels?
Answer:Yes. Fireproof utilizes barcode tracking of your records to automate and track every movement of your boxes and files.  We also offer free web access for account management and service requests.

Do you have pickup and delivery services?
Answer:Yes. Fireproof has a dedicated courier team that provide same day deliveries as well as a guaranteed 90-minute response for RUSH deliveries, and “no down-time/after hours” services. Utilizing our leading edge technology we offer emailing of digital images as an alternative delivery method.

What do I need to do to prepare my records for offsite storage?
It’s as simple as 1-2 3:

  • Call us at 614-299-2122 or email us at service@fireproof.com to place your order.
  • Pack/index your records and affix the preprinted labels to the boxes.
  • Arrange for a pick-up.  Fast, easy, convenient!

How do I select the correct system for indexing my files?
Answer:The first question to resolve is “How are my files identified”?  Are they identified by a number, name, address, subject?  “How will the files be requested”?  Once the file identification is resolved you can determine the reference fields – three fields is the most common.  Where is this information found?  When sending files offsite it is imperative that the file information be readily accessible.  The most common area is the tab on the file folder.

What if we need information that is stored with Fireproof? Will you retrieve the files for us and how fast can we expect to receive them?
Answer: Same day delivery by our own bonded, licensed fleet is standard at Fireproof. If the request is made prior to 10:00 am, we guarantee delivery by 5:00 pm the same day. Requests made after 10:00 am will be delivered the next business day by 1:00 p.m.. We also offer 90-minute RUSH delivery (within Franklin County) for items that are needed sooner. In addition, regular scheduled runs can be set up to meet your company’s needs.

What is a retention schedule and how does the schedule work?
Answer:A records retention schedule is a list of records for which predetermined destruction dates have been established. Retention periods are determined according to the organizational, governmental or archival value to the company. These values are determined by administrative, fiscal, legal, and historical record value. The retention schedule provides the guidance to destroy records when they have reached the end of their retention period.

Does Fireproof provide a computer listing of our entire inventory?
Answer: Absolutely. Upon request, we will provide a complete inventory report on CD or via e-mail.  Most of our customers prefer to use our free web access that allows you to access your inventory online with your secured Fireproof username and password.

Do you offer destruction services for old records?
Answer: Yes. Fireproof is a full-service provider of information management services. Our shredding operation offers certified destruction according to industry standards, either at your location using our mobile services, or at our secure destruction facility.

How do we know which files are due for destruction?
Answer: Fireproof tracks the retention of your data in our database (called a retention schedule) based on the destruction dates you have provided to us on the pre-printed barcode labels. Upon request, we will generate a list of boxes that have met their retention and can be destroyed, or you can access your own inventory online through our web access on our Customer Service page. Our process is accurate and cross-checked by our customer service team. Once you have completed a Destruction Authorization Form, our team will cross reference the boxes with the destruction authorization, and we will retrieve and destroy the designated boxes. Information is never destroyed solely on retention dates; we require an internal cross-check and written authorization from every customer for every box, each and every time.

What is the cost for storage and does the size of the box make a difference?
Answer: Box size will determine the amount of square footage you will require to store your information.
