Do you have vendors calling about the status of their invoices, clients asking for copies of their documents, or simply having trouble chasing down all that paper? The need for document dissemination is important and relevant in today’s fast-paced world. Your paper flow and audit trails need to be in sync with your day-to-day business. Whether your company needs small or large amounts of data, the easiest way to grant document access is through a secured software imaging program.
Answer:    Fireproof uses ImageSilo ,pdf an ultra-secure, on-demand Enterprise Content Management (ECM) System that allows you to access any document, or group of documents for intended recipients, without exposing the information to the Internet. The documents remain in a document repository, where you can be assured that sensitive documents (HR files, tax records, student records, etc.) are stored securely, and according to recent regulations. ImageSilo is the perfect solution for sharing information and managing the content of your enterprise.

Does your company have a need to disseminate information globally?
Answer:    Tracking information is hard enough from department to department, but adding multiple locations and processing points throughout the country makes managing content difficult. Imaged documents allow the appropriate authorized staff to access your information, and to manage the content of your entire enterprise; easily, safely and securely.

Do we need to spend large amounts of revenue to get started with document imaging?
Answer:  No. We have multiple programs for imaging your documents. We will help you select the most cost effective program that is right for your organization

What information will help us decide if the cost of imaging is worthwhile?
Answer:  It isn’t a question of “do we do this?” It’s a question of “when.” As a first step, you need to talk to our professional document management consultants at Fireproof. At no cost to you, we will perform a document assessment and cost analysis. We will calculate your current filing and retrieval costs which include the amount of time it takes to retrieve and refile items; the number of employees needing access to information, etc. Analyzing these factors will give you the information you need to justify the investment and streamline the costs.

Can documents be edited once they are scanned?
Answer:  No. These are permanent and legal records. They are safe from misuse. Our software does provide a “notes/comments” section, but as far as the original scan, the record cannot be changed/edited.

What storage options do you offer for our imaged documents?
Answer:  You can store the images on your own computer system. Fireproof offers PaperVision Enterprise® pdf software for storage and retrieval, or a web repository called ImageSilo®.pdf Web storage allows for unlimited growth and assists you the utmost in flexibility, and assists in the dissemination of data.

What type of security does ImageSilo® use and are my documents going to be safe?
Answer:  Yes, your documents are going to be safe. Security is our top priority! ImageSilo® pdf uses the following for security technology:

What are the costs associated with ImageSilo®?
Answer:  With ImageSilo® pdf there is nothing to purchase, no annual software maintenance fees, and no licensing restrictions. You simply pay a monthly storage fee to “host” your documents

The majority of our documents are already in an electronic format, .pdf, Excel, Word, Photoshop, etc. Do we have to print these documents and then scan them in order to get them into the retrieval system?
Answer:  No. PaperVision Enterprise® pdf supports over 250 different file types including .pdf, TIFF, Word, Excel, Photoshop, CAD, just to name a few. PaperVision Enterprise® also includes content management controls such as document versioning, revision histories, roll-back, and check-in /check-out.

What happens if I need a document while they are being scanned at Fireproof?
Answer:  If you need a document simply call us and we can fax it, scan and deliver it electronically, or physically deliver it to you. It’s that simple.

What flexibility do we have to share information with our clients?
Answer:  You will have the ability to fax, print, edit, enlarge, email, etc., even to the point of hiding information that is confidential and should not be shared

Our documents contain very confidential information and we do not want just anyone to have access to them. How can we safeguard this information?
Answer:  All of the features in both PaperVision Enterprise® pdf and
ImageSilo® pdf are optional and can be turned on or off based on the user. Each user has very specific user rights and access levels. Each user name determines and limits what that user actually can access. You simply turn off any feature you are not comfortable having available to your employees.

Are there any other security features I should know about?
Answer:  Yes, there are many, all of which you control. There is enhanced auditing that forces users to enter to whom and why they are printing or emailing and disclosing information. In addition, there are minimum password lengths, password expiration timers, session timeouts, account lockouts after unsuccessful logins, IP address limits and restrictions, session source validation and document level security.

What are the system component requirements to run imaging systems?
Answer:  The minimum requirements for all products are:
  • Pentium or greater PC
  • Windows 98 2nd Edition or better running the minimum operating system requirements
  • Windows network running NT 4.0, SP 6, 2000 OR XP Server running the minimum operating system requirements

We want to scan our documents ourselves. Does Fireproof sell in-house scanning systems?
Answer:  Yes, Fireproof provides complete turn-key imaging systems to those clients who wish to scan their own documents. Call 614.299.2122 to inquire about these turn-key systems.

What should we do with our documents after they have been scanned?
Answer:  This is entirely in your control, and each of our customers has different needs and criteria. Because scanned documents are considered “legal” many of our clients take full advantage of our complete suite of services and have us destroy their paper documents at the end of the lifecycle. Fireproof NEVER destroys anything without written authorization.
Some of our clients want their paper documents back and they either store them or destroy the documents themselves. Fireproof also offers long-term archival box storage for those clients that choose to keep the paper but do not want the storage boxes returned.
